Transforming the success rates of IT projects for a global logistics company

When a global logistics organisation wanted to ensure that vital IT projects were delivered on time and within budget, it turned to Quanta.

The company is a global transportation, information and logistics organisation that invests $1.5 billion in IT people and technology.

The company employs a core team of IT professionals to help deliver technology projects that are aimed at providing the company with vital commercial advantage in a highly competitive market. The company’s own IT professionals are supplemented by contractors on a project-by-project basis.

The global nature of the organisation meant that it had a distributed structure, with people and resources being managed from many points around the globe.

The company faced many issues – all of which, combined, were affecting the success of important IT projects.

  • There were too many sources of information, and no ‘overall view’ so it was difficult to gain a complete picture of global IT project and resourcing activities
  • When problems arose, it was usually too late for anything to be done about them
  • Not delivering projects on time reduced the competitiveness of the company
  • Project slippage caused over-run of project costs
  • Slippage on IT projects impacted on other company projects, often on a global scale

Actions taken included:

  • Quanta worked on the initial phase of the project with an assigned ‘action team’ from the client organisation
  • An initial assessment was completed within just a few days – and the findings presented to the board
  • The initial findings confirmed the need for a more detailed assessment – which then revealed issues more clearly
  • The client’s individual IT projects were aligned to a more controlled framework – a detailed work plan; this enabled required resources to be clearly profiled by skill type, volume and task
  • The use of detailed work plans provided clearer visibility of requirements across all projects
  • The processes for recruitment were unified to improve efficiency of management teams
  • The company’s multiple resource suppliers, each with their own terms and conditions, were consolidated into a single procurement process, dramatically reducing the complexity of managing resourcing and significantly reducing costs

Results included:

Quanta completed a detailed study and recommended a comprehensive solution to the client, which included:

  • Increased efficiency of business processes
    • Consolidated and improved supplier partnerships
    • Tighter contractual agreements with improved cost structures
    • Clearly defined performance targets
    • Regular, detailed reporting
    • Month-on-month project slippage was reduced with significant savings to the client organisation
    • The use of common processes improved project success and reduced management effort

The costs of employing Quanta were less than the losses on just two client projects – not including the significant knock-on costs to the organisation when those two projects were late. This rapid and sustained return on investment made the cost of using Quanta exceedingly easy to justify.
