Project Administrator & Document Controller - Dublin - 24-Month Contract 

Do you want to work with an exciting company who are an established market leader within their niche field? We have a fantastic opportunity for a Project Administrator/Document Controller to work on an exciting capex project in Ireland.

Reporting to the Construction Manager, but supporting the overall project team, the role of the Project Support Admin / Document Controller is multi-faceted and varied, depending on the needs to the project at any given time, a sample of which may include:

Responsibilities:

  • General Administration
    • General administration including meeting organisation, minute taking, holiday tracking, travel planning, PPE ordering, monthly reporting etc.
    • On-boarding new hires, including organisation of IT (new accounts, laptop, peripherals etc.)
    • Assist with developing and scheduling training, as defined by the Project Training Strategy and maintaining records of training for audit purposes.
    • Issues invites to people and co ordinating inductions.
    • Order Stationary / IT peripherals.
  • Document Control - Working with the Engineering, Construction, Automation & CQV Leads
    • Manage client team document control & rationalise interfaces between multiple document control systems (MS Teams, EIDA and PIMS) with project partners (EP & CM firms)
    • Generate and maintain project logs & files including, for example, project notes, procurement orders, payments, risk register, action & decision logs etc.
    • Route documents for electronic sign off on DocuSign
    • Work with engineering team to track FATs
    • Verify status of VTOPs and download approve VTOPs to project folder
    • Transfer of approved documentation from MS Teams to Project Folder
    • Create library of all documentation and locations (hard and soft copies)
  • Procurement - Assist with Procurement when required
    • Raise & track requisitions on the internal system to order number issue stage.
    • Compile order pack and issue to vendor.
    • Coordinate and maintain the procurement order log.
    • Confirm receipt of equipment delivery with project stores (MRRs)
    • Increase or modify PO’s as per VCOR or PO Finalisation Certificate
Requirements:
  • Candidate should have excellent interpersonal skills
  • Must be computer literate have a high level of competency in Microsoft office including MS word, Excel and PowerPoint.
  • Have a high level of competency using MS Teams and SharePoint.
  • Prior knowledge of EIDA and PIMS an advantage but not necessary as training can be provided.
